Aerorental Drop-off and Pick-up

Friday - Pick up black folding chairs and floor fans @ Aero-Rental mid-day, drop off at Mercer during meet setup. Sunday - collect at Mercer as part of meet tear-down, Monday - return to Aero-Rental.

Announcer

Announces events, heats, and names of swimmers in the water during competition. Provides information for spectators, swimmers, and coaches. In most instances, the announcer should arrive 30 minutes before the start of the session and remain through session end.

Awards

Collect results and place labels on medals/ribbons. Organize according to team to send with coach by close of the meet. For a championship meet: you will also sort medals for award stand presentations, assist with presentations, and organize unclaimed awards for team pickup.

Computer Operator Trainee

Learns how to operate Meet Manager software - seed after positive check-in, record deck entries, add heats, track scratched swimmers. Make sure times correspond to swimmers, print results. Must be willing to train as Admin Official. 

Console Trainee

Learns how to monitors swim times at the timing console using the Daktronics timing system. Will track empty lanes, late touches and other electronic timing issues.

Food - Concessions

High school age minimum. Sell and keep concessions food and programs organized. Set up or tear down as necessary. Possible on-site food prep: make sandwiches, wash apples, bag chex mix, bag carrots. Possible food/supply run as needed. 

Heat Winner Awards

Hands out heat winner prizes for each heat. Notes winner on heat sheet.

Hospitality

Install touch pads and test timing equipment. Assist with other pre-session setup as needed. (After the timing equipment is set, please check with computer operator, hospitality and concessions).

Lost & Found / Laundry

Set up Lost & Found before the first session (Clearly labelled box/bin/area). Position prominently at the end of sessions. At end of meet, collect all lost and found items. Clean and sort items, return to owners as able. 

Pre-Meet Facility Setup

Set up pool for meet:  tables, chairs, bleachers, stanchions, tape off areas, post signs, pull out/sort concessions supplies. Note: May require heavy lifting. Ages 13+. Diagrams and instructions provided.  Detailed instructions available.

Pre-Meet Technical Setup

Set up timing tables, computer, console, touch pads, audio equipment. Test timing system and review Meet Manager and Console operation.

Post-Meet Teardown

Restore Mercer for public use. Stack chairs & tables & bring to lobby, along with deck fans. Put away concessions supplies. Help pick up pool area. Remove touch pads and back up buttons. Move extra bleachers back to gym. Sweep. May involve heavy lifting. Detailed instructions available.

Program Sales & Admission - Senior State @ CRWC

Location: Entrance to Spectator Seating
Time Frame: 15 minutes before seating opens thru the last event
Tasks: (1) Sell admission tickets to the public
(2) Sell programs and heat sheets to the public 
(3) Remove printed results sheets from a printer and place them into a results binder
(4) If necessary, make additional copies of heat sheets

Recycling

Clean and sort recycling.  Take cans, bottles, cardboard, plastic, etc. to recycling distribution center. Return can and bottle funds to ICE lockbox. 

Runner

Will pick up lane timer sheets and deliver them to the timing table and post results for spectators outside the pool deck. Assist on deck as needed.

Safety Marshall

Ensures swimmer safety, keeps designated areas clear or quiet. (Lifeguard on duty).

Session Cleanup

General pick-up of facility: gather lost & found, pick up trash, empty trash cans, restock toilet paper, help pull and hose down touch pads, set boxes & buttons to drain, other clean up as needed.

Swimmer Lineup

Maintains order and guides younger (10 & under) swimmers behind the blocks.

Timer (Lane)

Operate a stop watch and electronic back-up button behind the blocks with a partner. Record finish times on paper. PM start times may be adjusted several days before the meet. Children 10+ accompanied by adult please.

Timer (Head)

Coordinates the lane timers, runs extra watches, receives communication from officials, cycles relief timer through the chairs. PM start times may be adjusted several days before the meet.

Donations

If you wish to make a financial donation or to donate goods for the concession stand, please visit the Concessions page.

ICE members have a strong history of donations for both hospitality and concessions. As Meet Host, we traditionally offer our hospitality throughout the meet to the visiting coaches as well as the officials who work each session. We also provide a concession stand for swimmers and their families. Concessions typically raises a considerable amount at our meets - each meet, for example, raises enough to pay for our facility usage for about two months. These concession donations are separate from, and do not count towards, fundraising expectations or volunteer shift obligations. ICE is very grateful to its members for their generous contributions to the concessions at this meet.
